Documentation is a time-consuming task that most business owners and in house I.T Managers can never find the time to consistently update.
Centralizing your documentation and regularly keeping records up to date is beneficial to every organisation for the following reasons:
Keeping on top of domain renewals, warranty renewals and service agreements stops the unexpected from happening.
Safeguarding admin passwords
Better planning due to the lifecycle of each of your assets being tracked (Computers and Mobile Devices) - This means that you can predict how much you need to budget ahead of time.
Understanding the rate at which your assets are depreciating which is helpful for your finance and operations department.
Having secure live and interactive access to documentation.
Having your IT documentation ready to go and accessible to your new I.T team in the event that you shuffle/ replace / extend your IT team.
TECHNICAL JARGON ALERT: BEFORE I GET INTO THIS I HAVE TO WARN YOU THAT THIS IS A LITTLE TECHNICAL DUE TO THE NATURE OF TECHNICAL DOCUMENTATION. THE BIGGEST THING TO TAKE AWAY FROM THIS IS THAT WE CAN DO THIS SO THAT YOU DON'T HAVE TO!
What do we document?
To give you an idea of what we can document I have created a dummy company “Carter Engineering” to show you.
We can securely store passwords for your network.
Agreement and Licencing Dates
We document and track all agreements that you have in place and remind you when they are due.
We document the people that are currently in your organisation, where they are based and their contact details.
We can document multiple sites and then link assets to each site
We document your site network configuration
We document network devices and manage renewals. Once in the system we will alert you on what needs to be renewed and when.
Procedures, Help-guides and Processes
We can store these with the rest of the asset records and documentation and can upload almost anything.
You can at anytime access and understand your documentation. See this example interactive report that shows documentation for two imaginary sites.
How does the service work?
Once approved we will arrange for one of our engineers to head to your office(s) and review all of your documentation. Once uploaded you will receive a clear understanding of what you need to renew and when. Your documentation is then refreshed every quarter!
